Kennisjobs of Belgium uses the back-office functionality of BrightStaffing for the invoicing and payment of temporary workers. Since mid-October, Carerix has been up and running for candidate recruitment, selection and placement. Solid Online streamlines the staffing process for Kennisjobs by linking Carerix as the front office to the back office system. Because data now no longer needs to be manually transferred from front office to back office, Kennisjobs saves a lot of time. Moreover, errors are prevented.

Quickly transfer data and create contracts

Candidate, customer and contact data are initially entered in Carerix. As soon as this data is needed in BrightStaffing , it can be transferred to the back office system with the "push of a button". When a placement is realized in the recruitment system, an email is sent out to the back office staff at Kennisjobs with the contract information recorded in Carerix, with a request to create a contract for this placement in BrightStaffing. Contract information that becomes available at a later time is completed in BrightStaffing. Kennisjobs has chosen to have changes to candidate, client and contact data largely done by the front office. Only data relevant to payroll and invoicing are maintained in the back office. Relevant changes are automatically synchronized to the other system via Connector , all within minutes. The data in the front and back office of Kennisjobs thus remain the same.

SD Worx staffing & recruitment uses Easyflex as its back office, and recently started using Carerix as its front office. It is essential for SD Worx that the data in both systems are the same. Together with Carerix and HRLinkIT, Solid Online took care of the data migration from Easyflex to Carerix, so that in both systems the data of clients, contacts and candidates are up-to-date. In addition, SD Worx uses the Solid Online Connector for the link between Carerix and Easyflex.

Built-in credit check of companies

Between Carerix and Easyflex there is a credit check where the customer is assessed, where from Carerix the credit check is requested and sent through the Connector to Easyflex . The result of the credit check is entered into Easyflex , and becomes available from there back to Carerix. Now SD Worx knows exactly how much they can spend or how many people can be placed with a client.

Data exchange between Carerix and Easyflex

Customers, contact persons, candidates and placements are entered and maintained by SD Worx in Carerix . All data required for error-free payroll and invoicing, such as application, client, candidate and contact person, are transferred via Connector from Carerix to Easyflex. Changes are made in Carerix, and synchronized from there to Easyflex. If relevant new info arises in Easyflex , for example if a placement ends, this information flows back to Carerix.

With all data complete and continuously up to date, SD Worx is ready to quickly and accurately place and pay candidates.

Novisource works with its own (internal) professionals as well as external professionals, such as freelancers. All contracts with clients are recorded in Carerix . The time sheets of all professionals are also recorded in Carerix. Before this data is processed in the financial administration in Exact Online, a periodic overview report is generated. This report contains not only the timesheet per consultant, but also contract information, such as sales rates, cost price, contract duration, client information, etc. This allows the completeness and correctness of sales and cost price to be determined very quickly and easily, and productivity is charted in detail. After this, the data is ready for invoicing. Once the sales invoices are created and processed in Carerix, they are retrieved from Carerix and sent to Exact Online via Solid Online Connector . Here, based on the information sent along, a sales entry is automatically generated on the correct general ledger accounts, cost centers and cost carriers. Since this process is fully automated, the error rate is very low and cost savings are achieved.

Anylinq opts for Connector between AFAS and Carerix

AnyLinQ has chosen Solid Online Connector for a link between AFAS (vacancies, realization of projects) and recruitment software Carerix. When data is entered or changed in one of these systems, the data can now be seen almost immediately in both systems. This is much less error-prone and it saves AnyLinQ a lot of time because fewer manual actions are required.

Data from AFAS to Carerix

Incoming vacancies from clients are entered into AFAS by AnyLinQ . Via the Connector all information from the vacancy is transferred to Carerix, including the corresponding sales relationship and, if applicable, the end customer. In Carerix the matching of internal and external employees to these vacancies takes place.

Data from Carerix to AFAS

Employees are created in Carerix. Once an employee is placed in Carerix for the first time, the candidate's information is transferred via the Connector to AFAS. For employees coming through a supplier, this includes the linked purchasing relationship. Documents required in AFAS are also included. For example, a copy of the extract from the Chamber of Commerce, a confidentiality form or a signed employment contract. These documents are then automatically removed from Carerix, so that they are only available in the place where they are needed for business, in this case AFAS. When the status of the vacancy in Carerix changes to Closed (not scored) or Scored, the enriched information goes back to AFAS. This includes rate agreements, work agreements and placement information. This provides the user in AFAS with the correct data to create the project in AFAS .

AnyLinQ has chosen to let AFAS be the leading system. This means that changes within existing vacancies (forecasts), sales relationships and candidates are made in AFAS. The Connector ensures that these changes are visible in Carerix within about one minute.

The user is kept informed of the status of data transfer through notes in Carerix and outage reports. This allows immediate action to be taken if incorrect or incomplete information has been entered.

MultiFlexx: bill processing ZZP-ers with self-billing in Transformer

MultiFlexx has chosen Solid Online Transformer for the invoice processing of ZZP-ers. By using the self-billing (reverse billing) solution within Transformer , MultiFlexx and their ZZP-ers are assured of fast and error-free processing of all invoice data. This makes financial processing a lot easier.

How does self-billing work within Transformer for MultiFlexx?

Master data to AFAS

The master data of the ZZP'ers, suppliers and clients are imported into Transformer from FMS. A creditor is created in AFAS for the ZZP'ers and other suppliers. Already existing creditors are updated. Relevant data is imported, such as invoice type, invoice frequency and funding percentage. ZZP'ers can choose self-billing or receive a pro forma invoice containing all necessary information for invoicing to MultiFlexx. Other suppliers receive a pro forma invoice for commission or commission + wages (reinvoicing).

Placement and compensation 

On a weekly basis, the relevant placements, hours and fees are obtained from FMS and imported into the Transformer. The hours are automatically grouped in the Cockpit based on the billing data of the ZZP or supplier, taking into account the billing frequency, among other things.

Overview 

It is possible to upload invoice attachments, which are sent along to the ZZP'er or supplier. In addition, a final check can be done on the content of the invoice or pro forma. This is then sent to the freelancer or supplier. A copy is sent to the administration of MultiFlexx, so they have an overview of all emails sent from Solid Online. After sending the self-billing, a financial transaction is automatically created in AFAS on the corresponding creditor. MulitFlexx's finance department can thus see at a glance when which amounts need to be paid. After sending the pro forma, a liability is automatically created in AFAS on the corresponding creditor.
