Every day more than a hundred thousand flex employees work via RGF Staffing at all kinds of companies and institutions in Europe, mainly in the Netherlands, Belgium, Germany and France. RGF Staffing is part of Recruit, one of the largest HR service providers in the world, known for brands such as Start People, Unique Uitzendbureau and Indeed.com.
The Shared Service Center of RGF Staffing NL uses Solid Online to robotize time processing and invoicing. RGF Staffing offers its clients and flex workers their own portals in which time processing and invoicing are facilitated, but often clients already have their own systems. To link with these, Solid Online has been developed with the SETU HR-XML standard as a basis. Meanwhile, more than 10,000 digital hour claims from customer systems are automatically processed via Solid Online. This is followed by the processing of salaries and invoice files in the back office systems of RGF Staffing, after which Solid Online takes care of the digital invoicing to customers. RGF Staffing is able to implement new customers without the intervention of programmers. With each customer implementation, the efficiency achieved with this form of robotization becomes visible again and again.
Both staff at the central administration, and consultants in the country, are freed from repetitive administrative actions. Smart business rules that can be self-created in Solid Online ensure this. Payments and invoicing are faster, fewer errors are made, and costs are saved. Clients and flex workers are better served as a result, with higher satisfaction as the end result.

For a group of 25 hirers of Charlie works this is now a completely automated process. First time right without any user intervention. The realized hours from Transformer go directly into the payroll and billing engine of Mysolution. As a basis, the Solid Online Hours Transformer reads in the necessary data of clients, candidates and placements from Mysolution . On the other hand, the hirers send various hours and claims file formats. In the Transformer the hours are then grouped, checked and enriched with the required Mysolution information. Once the hours have gone through the workflow, the Transformer for Mysolution creates the required SETU timecard. Throughout the project, the consultants translated the business requirements into the one-time setup. Complex unraveling was also applied such as converting clock times and applying the correct collective bargaining agreement rules.
Because the Transformer automatically processes the customers' time files and sends them to Mysolution, Charlie works no longer has to manually book or process the hours for these customers. This acceleration in the hour processing brings Charlie works thus directly also an acceleration in the remuneration, an improvement for both Charlie works, its customers and their temporary workers!

Solid Online played a crucial role in this transition. For example, Solid Online first migrated all relevant data for payroll and invoicing from the old system to AFAS. Given the size and diversity of the data, this was a considerable task that was successfully completed in close cooperation.
In addition to the data migration, Solid Online implemented various Connectors between OTYS, Textkernel Mid-Office, AFAS financial and AFAS Flex. All data flows between these systems were optimally implemented and realized. This was a meticulous collaboration of all parties, on which everyone worked very hard. Thanks to these smart links Flexcraft Aldivèr no longer has to enter data twice, which significantly increases efficiency and accuracy.
With the Connector the processes at Flexcraft Aldivèr now run optimally. All required data are automatically in the right place, so Flexcraft Aldivèr always has clean, up-to-date data that is consistent across all systems.

Ned Personeel uses Placement Direct, an Advanced Feature on the Connector, designed specifically for Easyflex-users. This new feature allows NED personeel to transmit all necessary placement data directly to Easyflex, at the touch of a button, as soon as a candidate is placed in the source system.
For example, suppose a temporary worker receives a new assignment in the hospitality industry. Thanks to Placement Direct, all details such as the correct sector classification, pay period and other important information are entered directly and correctly into the back office system. This not only saves valuable time, but also minimizes errors that can occur with manual entry.
Employment agency NED Personeel provides staffing services in 5 sectors. By using Placement Direct, processing a placement now takes significantly less time than before. This means a significant gain in time for placements only, in addition, of course, there is already the time gain because through the Connector all master data is automatically forwarded. This allows the candidates to get to work faster and the agency to focus on other important tasks.

How does the Uren Transformer work for Youbahn?
Youbahn works with AFAS as its back office system. The remuneration of temporary workers is taken care of from AFAS . Uren Transformer ensures that in AFAS for each placement is known which collective labor agreement and rate agreements apply.
To do this, the Uren Transformer first retrieves the necessary data of employees, clients and placements from AFAS. All hours approved by employers are then automatically retrieved from the Youbahn portal. In the Uren Transformer , the timesheets are linked to the master data from AFAS and then go through a set of settings to assign the correct hourly rate and collective bargaining agreement rules. This is automatically fed back to AFAS so that the amount to be paid is known for each placement in AFAS .
Suppose, for example, that hours are written while no placement has been created yet, this is caught by the Hours Transformer in the cockpit as a dropout. The missing placement number is thus spotted at an early stage, allowing quick action to be taken. A placement can be created in AFAS, and the hours can then still be included. The Uren Transformer saves Youbahn a lot of time, manual checks are not necessary and all temporary workers can be paid on time.
Youbahn is the platform for flexible work. Employers can post their vacancies for free, Youbahn finds temporary workers within 24 hours. Temporary workers sign up for work at affiliated employers. They are employed by Youbahn and do not have the administrative obligations of self-employed workers. Insurance, vacation pay, pension and salary are arranged by Youbahn. The flexibility of shifts or the security of long-term vacancies, through Youbahn temporary workers always determine their own schedule.

HR service provider Logistic Force has chosen the Solid Online Connector with a link between AFAS and Acture. Logistic Force uses AFAS as back office and Acture for the absenteeism management. Acture takes care of the entire absenteeism process for companies, and with Connector included, Logistic Force no longer has to worry about absenteeism at all. Sick leave only needs to be registered in AFAS and from there everything runs automatically. According to Logistic Force , the Solid Online Connector saves one FTE of administrative work, a nice time saver!
How the link works
Acture has its own self-developed software system, Klout7. The Solid Online Connector runs between Klout7 and AFAS. When Logistic Force receives a sick report, they register it in AFAS. The Connector retrieves the sick call and translates it into the format Klout7 needs to process the sick call. Once the temporary worker is better again, recovery notifications from Klout7 follow by email. Acture takes care of the complete handling of the absenteeism process for Logistic Force. The recovery notifications arrive by e-mail the Connector and are processed automatically. At the same time, the absence report is closed in AFAS . The Connector works as a "black-box", meaning that the employees of Logistic Force do not see the data flow via the Connector , the necessary data are automatically put in the right place in both systems.

STAN Partners is a Zaanish job placement company, STAN has organized itself into six operating companies, each with its own services. These operating companies consist of PDZ Uitzendbureau, Teamflex Personeelsdiensten, Louter Recruitment, Loopbaan.NU, STAN Opleidingen and Flexcellens. STAN is now using the Solid Online Hours Transformer, which means that their hours process is now fully automated.
The Uren Transformer for STAN Partners makes it possible to read different types of submitted time files and convert them to FlexService standards. This eliminates the need for retyping, reduces errors and speeds up the process regarding time sheets.
Part of this process is the automatic unraveling of hours. In Solid Online's application, STAN itself can add, modify and manage new hour files to be processed using hour templates and various modules. In addition, Solid Online provides real-time insight into the progress of the process in the cockpit available for this purpose.
Solid Online combined for STAN Partners the implementation of the Transformer with setting up the customer files and explaining and training STAN's own staff so that they can set up future customers themselves in the Hours Transformer.
Since going live, several clients have been implemented independently by STAN Partners.

Timing, the temporary employment agency for real work, belongs to the top of the largest temporary employment organizations in the Netherlands. Since a few months, Timing has been working with Solid Online's Invoices Transformer for the invoicing process towards one of their customers.
The customer was required to submit invoices digitally as e-invoices via the Peppol platform. This is a prerequisite for staffing at this client. Peppol is an international open standard for the digital exchange of procurement data, such as invoices and orders. Timing recently switched to a new back office system, Pivoton. From Pivoton , invoices cannot be sent directly to the Peppol platform. The Invoices Transformer of Solid Online solves this.
How does this work?
Timing offers invoices digitally to the Solid Online Invoices Transformer. Solid Online ensures that the invoices are transformed, validated and enriched for the UBL format so that they are offered near real-time on the Peppol platform and then delivered to the accounting package of the customer.
With the Invoices Transformer Timing has digitized its invoice process and thus meets the requirements to employ staff at this customer.

Xentys, founded in 2010, is a recruitment agency that specializes in consultancy services in technical procurement. Xentys provides recruitment of procurement professionals on an Interim basis, Secondment or through Recruitment & Selection. The consultants of Xentys know the labor market for procurement functions in the industry and construction like no other. Xentys has the right expertise to advise its clients on their recruitment and selection procedures and their procurement processes.
Recently Xentys switched to a new recruitment system, Mysolution. For Xentys it was of course important that all data from their old system, could also be found in the right place in Mysolution. Solid Online took care of the data migration, so Xentys could quickly continue in the new system.
How did the data migration go?
Xentys provided an export of some of the data to be migrated. We also retrieved much of the data, including documents and emails, from the API of the old system. The master data was transferred over a weekend (candidates/clients/contacts/vacancies/placements). In the following week, the emails/documents were migrated. Then the remaining data was transferred with a delta migration. A delta migration has 2 phases, in phase 1 Xentys, after exporting all data, could still continue working in the old system. In phase 2 these last made changes were also migrated and Xentys could continue in their new system where all data were in the right place. This was the first data migration Solid Online did to Mysolution. For Solid Online a nice milestone on the road to more data migrations and links with Mysolution.

HRlinkIT provided the proper setup of the Bullhorn environment and Solid Online ensured a smooth data migration from the old ATS to Bullhorn.
For the move to Bullhorn , tens of thousands of records had to be migrated. To ensure that the data migration went perfectly, we started with an extensive preliminary process in which the wishes of Brainbridge were mapped out. Based on this, a CSV export was prepared and a test migration was done, after which the data was put into Bullhorn via the API. By now Brainbridge has been working successfully for several weeks in Bullhorn, where all data can be found in the right place.

Thanks to the Solid Online Connector Placement information from the front office OTYS now flows automatically to their financial system Exact Online, so the data is the same in both systems, without having to enter and maintain data twice.
Clients, contacts and candidates are created by Blue Beaver in OTYS. This data is needed to create a placement in OTYS. Once the placement is created, the information from this placement is transferred to Exact Online through Connector . The linked client, contact person, candidate and agreed rates will also be transferred to Exact Online via Connector . If the transfer has been successful, the unique ID of the placement in Exact Online will be entered into the placement in OTYS.
Besides adding the unique ID of the placement in OTYS , the unique IDs of the client and candidate in OTYS will also be transferred to Exact Online. This way the data can be easily found in both systems.
Blue Beaver has chosen to let OTYS be the leading system. This means that changes within existing placements, clients, contacts and candidates are made in OTYS. The Connector ensures that these changes are visible in Exact Online within about one minute.
Finally, we have set up a template for Blue Beaver with which ZZP invoices are automatically generated. Blue Beaver sends invoices on behalf of ZZP'ers, for which they only need to fill in minimal details, such as hours worked. All other necessary details are automatically filled in based on the project number, such as the details of the freelancer and the client.
This way Blue Beaver saves time and ensures that their staff can be paid quickly and easily!

Noël Franklin, Belgian specialist in recruitment and selection, has chosen the Solid Online Connector to exchange the data of placements, employers, contacts and candidates between OTYS and TimeChimp. Virtually all the information needed for a new placement is transferred from OTYS to Timechimp and back with the link. The linkage has eliminated Noël Franklin so much manual work.
How does the link between OTYS and TimeChimp work for Noël Franklin?
From OTYS data of placements, employers, contacts and candidates are retrieved using webhooks. The user in OTYS is therefore responsible for providing the data to the link. This can be done with 2 special action buttons added in OTYS. Solid Online offers the possibility to expand the number of linked operating companies. Noël Franklin has 2 operating companies and the data is therefore transferred from OTYS to two different TimeChimp environments.
From both TimeChimp environments, data of changed placements, contacts and candidates are retrieved and transferred to OTYS.
The Connector link eliminates the need to manually transfer data from Otys to TimeChimp. Virtually all information required for a new placement is transferred to the correct TimeChimp environment with the link. Only a few manual (control) actions are required to have the project finally ready in Timechimp. Then everything is ready and the candidate can start booking his or her hours on the project he or she is assigned to. The candidate can also make changes to TimeChimp which are then sent back to OTYS.

Based in Rijssen and Delden, they are a household name in this area with regard to the staffing of personnel in construction and engineering. With their clients Hammer Techniek & Detachering has an open and transparent cooperation. Mutual trust is of paramount importance, which is why most of their clients have been associated with Hammer Techniek & Detachering from the beginning. Both the clients and the temporary workers are central to Hammer. Temporary workers do not lack for work clothing and personal protective equipment. They too are often associated with Hammer for long periods of time or return when looking for new work.
Hammer Techniek & Detachering specializes in staffing in Construction and Engineering. They use OTYS as an ATS system (Applicant Tracking System) and Easyflex as a back office. Solid Online realized a Connector link between the two systems for the topics Candidates, Clients/Contacts, Placements and Hours, so that data entering OTYS is automatically transferred to Easyflex. This eliminates the need for retyping and correcting data by Hammer employees, it is now just a matter of checking and, where necessary, adjusting. This saves the agency a lot of time, because all data are now always equal and up to date in both systems. The transfer of hourly data has been newly developed by Solid. Hammer is the first customer to use this functionality. From now on other companies that use OTYS and Easyflex can also choose to transfer their hours data such as worked, vacation or sick hours from OTYS to Easyflex by the Connector.

What exactly does the link do?

Novisource works with its own (internal) professionals as well as external professionals, such as freelancers. In Carerix all contracts with clients are recorded. The time sheets of all professionals are also recorded in Carerix. Before this data is processed in the financial administration in Exact Online, a periodic overview report is generated. This report contains not only the timesheet per consultant, but also contract information, such as sales rates, cost price, contract duration, client information, etc. This allows the completeness and correctness of sales and cost price to be determined very quickly and easily, and productivity is charted in detail. Data from AFAS to Carerix
Incoming vacancies from clients are entered by AnyLinQ into AFAS. Via Connector all information from the vacancy is transferred to Carerix, including the corresponding sales relationship and, if applicable, the end customer. In Carerix the matching of internal and external employees to these vacancies takes place.
Data from Carerix to AFAS
Employees are created in Carerix. Once an employee is placed in Carerix for the first time, the candidate's information is transferred from Connector to AFAS. For employees coming through a supplier, this includes the linked purchasing relationship. Documents required in AFAS are also included. For example, a copy of the extract from the Chamber of Commerce, a confidentiality form or a signed employment contract. These documents are then automatically removed from Carerix, so that they are only available in the place where they are needed for business, in this case AFAS. When the status of the vacancy in Carerix changes to Closed (not scored) or Scored, the enriched information goes back to AFAS. This includes rate agreements, work agreements and placement information. This provides the user in AFAS with the correct data to create the project in AFAS .
AnyLinQ has chosen to let AFAS be the leading system. This means that changes within existing vacancies (forecasts), sales relationships and candidates are made in AFAS. The Connector ensures that these changes are visible in Carerix within about one minute.
The user is kept informed of the status of data transfer through notes in Carerix and outage reports. This allows immediate action to be taken if incorrect or incomplete information has been entered.
MultiFlexx has chosen the self-billing (reverse billing) solution within Solid Online Transformer for the invoice processing of freelancers. How does this work?
Master data to AFAS
The master data of the ZZP-ers, suppliers and clients are imported into Transformer from FMS. A creditor is created in AFAS for the ZZP-ers and other suppliers. Already existing creditors are updated. Relevant data is imported, such as invoice type, invoice frequency and funding percentage. ZZP'ers can choose self-billing or receive a pro forma invoice containing all necessary information for invoicing to MultiFlexx. Other suppliers receive a pro forma invoice for commission or commission + wages (reinvoicing).
Placement and remuneration
On a weekly basis, the relevant placements, hours and compensation are obtained from FMS and imported into the Transformer. The hours are automatically grouped in the Cockpit based on the billing information of the ZZP or supplier, taking into account, among other things, the billing frequency.
Overview
It is possible to upload invoice attachments, which are sent along to the freelancer or supplier. In addition, a final check can be done on the content of the invoice or pro forma. This is then sent to the freelancer or supplier. A copy is sent to the administration of MultiFlexx, so they have an overview of all emails sent from Solid Online. After sending the self-billing, a financial transaction is automatically created in AFAS on the corresponding creditor. How does this work?
The Solid Online Connector sends the desks, contacts and functions from Carerix to the Transformer. Mails from the agencies are automatically forwarded by Splendit to the Transformer. Since the clients are now known here, we can recognize them the email address of the origenic sender. Then the function from the subject is checked against a translation table. The translation table contains the functions from Carerix with possible customer names. if all the information is known in the Transformer then the job is automatically created in Carerix. TOPS has recently chosen to migrate to the Recruitment Software of Bullhorn. Solid Online took care of the data migration of clients, contacts, candidates, placements, historical work experience and notes from the existing staffing software towards Bullhorn. All information required in the recruitment process is available in Bullhorn.
Besides the data migration, Solid Online has realized the link between Bullhorn and HelloFlex. Data of candidates, clients, contact persons and placements are automatically exchanged between both applications at the desired moment. The necessary information about the contract, candidate, client and contact person is transferred to HelloFlex so that the payroll can take place in the back-office software.

For Tankpersoneel / Ready4You Solid Online has built a handy custom tool. In this tool the hours and declarations from the planning package Plan4Flex can be uploaded. Subsequently, these hours and declarations are automatically sent as an xml invoice file to the financial software Exact Online. Once arrived in Exact, the file is automatically formed into an invoice in the recipient's preferred format. From here, the invoice can be sent to Tankpersoneel / Ready4You 's customer.

Bolap.nl is a staffing organization specializing in "handy" personnel. They mainly supply personnel for the construction, demolition, production, logistics and cleaning sectors. For one of Bolap.nl 's logistics clients, Solid Online has realized a link between Easyflex and Softbrick.
By using the Solid Online Connector , candidates and placements from Easyflex are automatically forwarded to Softbrick so that the employee can be immediately scheduled and register their hours in Softbrick. After approval in Softbrick, the hours and fees are automatically delivered to Easyflex so that the candidate can be paid. Data no longer needs to be manually retyped. This prevents errors.
